This policy explains what personal information Annerkant Venue collects through this website, why we collect it, how long we keep it, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA).

Who is responsible for your information
Annerkant Venue, Annerkant plaas, Kirkwood, Sundays River Valley, Eastern Cape, South Africa, is the responsible party for the personal information collected through this website.
Our information office can be reached at info@annerkantvenue.co.za or on 082 308 7581. The formal designation and registration of our Information Officer and Deputy Information Officer with the Information Regulator is being finalised, and this policy will be updated with those details once confirmed.
What we collect
When you send an enquiry we collect the name, email address and telephone number you provide, together with the details of your enquiry such as the type of occasion, your preferred date, an estimate of guest numbers and your message.
We record the date and time of your enquiry, the page it was sent from, the wording of the acknowledgement you agreed to, and whether you chose to receive occasional venue news.
Our hosting provider records standard technical information such as an IP address and browser type in order to keep the website available and to prevent abuse of the enquiry form.
Why we may lawfully process it
We process enquiry information mainly because it is necessary to take steps at your request before entering into a possible booking, and because we have a legitimate interest in responding to people who contact us.
The acknowledgement checkbox on the enquiry form confirms that you have read this policy and agree that we may process your details in order to answer your enquiry. It is not the only lawful basis on which we process personal information, and withdrawing it does not affect processing we are required or entitled to carry out for other reasons, such as keeping records of a confirmed booking or meeting a legal obligation.
Marketing is separate. We will only send you occasional venue news if you tick the optional marketing box, and you may withdraw that consent at any time without affecting your enquiry.
Who we share it with
We do not sell your personal information and we do not share it for third-party marketing.
We use trusted operators to run this website and to deliver our email — a website hosting and database provider and an email delivery provider. They process information on our instruction only. Some of these services may store or process information outside South Africa; where that happens we rely on providers that offer a comparable level of protection.
How long we keep it
Enquiries and the related consent records are kept for 24 months from the date of your enquiry, after which they are deleted or anonymised unless a booking was confirmed or the information is still needed for a legal, accounting or dispute-related reason.
You may ask us to delete your information sooner and we will do so unless we are required to keep it.
How we protect it
Access to enquiry records is limited to authorised venue staff who sign in to a private management workspace with their own account. Access rules are enforced on our server and in the database, staff activity is logged, and internal contact details are not published on the public website.
The enquiry form uses a simple arithmetic security question and server-side anti-spam checks. No third-party CAPTCHA or tracking service is used.
Your rights under POPIA
You have the right to ask what personal information we hold about you, to ask us to correct or delete it, to object to processing, and to withdraw a consent you have given. You may also lodge a complaint with the Information Regulator of South Africa.
To exercise a right, use the request form on our Data Requests page or write to info@annerkantvenue.co.za. We will acknowledge your request and respond within 30 days. We may ask for reasonable proof of identity before acting on a request, so that we do not disclose information to the wrong person.
